Privacy Policy
This site collects almost nothing. It sets no cookies, runs no analytics, and tracks nobody. The only personal information it gathers is what you type into the contact form. This page explains exactly what happens to it.
01Who we are
Madrina Communications (“Madrina”, “we”, “us”) is an investor relations firm registered in British Columbia, Canada. We work with public and private companies on investor communications and shareholder engagement.
This policy covers madrinacommunications.com and the enquiries sent through it. It does not cover the separate confidentiality terms that govern our work for a client company, which are set out in that company’s engagement agreement.

02What we collect
Two things, and nothing else.
Information you choose to send us
If you use the contact form or email us directly, we receive your name, your company, your email address, and whatever you write in the message. That is the entire set of fields the form asks for. We do not ask for financial account details, government identifiers, or any other sensitive category of information, and we would rather you did not send them through this site.
Standard technical information
Our hosting provider records ordinary server log data for every request — IP address, browser and device type, the page requested, the referring page, and the time. This is generated automatically by the act of serving a web page and is used to keep the site running and to defend it against abuse.
03What we deliberately do not do
This site sets no cookies. There is no analytics package, no advertising tag, no tracking pixel, no session recording, no chat widget, and no social media embed anywhere on it.
We do not build advertising or behavioural profiles of visitors. We do not sell, rent, or trade personal information to anyone for any purpose, and we do not disclose it for cross-context behavioural advertising. There is no consent banner on this site because there is nothing to consent to.
The one request the site makes to an outside party is to Google Fonts, which serves the typeface the site is set in. Your browser sends your IP address to Google as part of that request. Google states that it does not use those requests to build advertising profiles, but the request happens and we would rather tell you about it than not.
04Why we use it
We use what you send us for the reason you sent it, and for very little else.
- To read, answer, and follow up on your enquiry, and to correspond with you about it
- To keep the website secure, available, and functioning correctly
- To keep the business records we are required to keep, and to comply with law or a lawful request from a regulator
We do not add contact-form enquiries to a marketing list. If we ever want to send you something you did not ask for, we will ask you first.
In Canada, we rely on your consent, given by choosing to send us the message. Where the UK or EU GDPR applies, our legal basis is your consent and our legitimate interest in responding to business enquiries and securing our own website.
05Who else handles it
Only the service providers it takes to run a website and an inbox. Each is bound to use the information solely to provide its service to us.
- Netlify — hosts the site and receives contact form submissions. United States.
- Microsoft 365 — our email. Messages you send us arrive and are stored there.
- Google Fonts — serves the typeface, as described in section 03.
Beyond these, we disclose personal information only where we are required to by law, by a court or tribunal of competent jurisdiction, or by a securities regulator acting within its authority — and only to the extent actually required.
06Where it is stored
On servers located in the United States.
Canadian privacy law requires us to tell you this plainly: personal information stored outside Canada is subject to the laws of the country it is stored in, and may be accessible to the courts, law enforcement agencies, and regulatory authorities of that country. By sending us information through this website, you understand that it will be transferred to and processed in the United States.
07How long we keep it
- Enquiries — kept for as long as the conversation is live and afterwards for as long as we need them for the business relationship or our record-keeping obligations. Enquiries that do not lead to a relationship are deleted within twenty-four months.
- Server logs — retained by our hosting provider on its standard schedule, typically about thirty days.
You can ask us to delete your enquiry sooner. See the next section.
08Your rights
What you are entitled to depends on where you are. In practice we handle every request the same way regardless of where it comes from.
Canada
Under the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA), you may ask what personal information we hold about you, ask for a copy of it, ask us to correct it if it is wrong, and withdraw your consent to our continued use of it.
California
Under the CCPA as amended by the CPRA, you may request to know what we have collected, request that we delete or correct it, and opt out of its sale or sharing. We do not sell or share personal information, so there is nothing to opt out of. We will never discriminate against you for making a request.
United Kingdom and European Economic Area
Where the UK or EU GDPR applies, you have the rights of access, rectification, erasure, restriction of processing, data portability, and objection, and the right to withdraw consent at any time without affecting anything done before you withdrew it.
How to exercise any of them
Email admin@madrinacommunications.com and say what you want. We will respond within thirty days. We may need to ask you a question or two to confirm you are who you say you are before we act, particularly on a deletion request.
If you are not satisfied with how we have handled your request, you may complain to the Office of the Privacy Commissioner of Canada or, in British Columbia, to the Office of the Information and Privacy Commissioner for British Columbia. We would appreciate the chance to put it right first.
09Security
The site is served over HTTPS, sends security headers on every response, and loads no third-party scripts — which removes the most common way a small site leaks data. Access to the enquiry inbox is limited to people at Madrina who need it.
No method of transmitting information over the internet is completely secure, and we cannot guarantee absolute security. Please do not send confidential information, material non-public information about any company, or anything you would not want read by someone other than the intended recipient through the contact form or by unencrypted email.
10Children
This website is directed at companies and professional contacts, not at children. We do not knowingly collect personal information from anyone under eighteen. If you believe a minor has sent us information, write to admin@madrinacommunications.com and we will delete it.
11Changes to this policy
If this policy changes, we will post the revised version here and update the effective date at the top of the page. If a change materially affects how we handle information you have already sent us, we will say so plainly rather than relying on you to notice the date has moved.
